Clinic Registration Clerk - Clinic
SUMMARY OF POSITION: The registration/admissions clerk will present a pleasant, courteous, and professional demeanor while working in the Clinic.
He/she will work closely with physicians and nurses in planning the provider’s day to day work in the clinic. He/she will schedule appointments, answer the telephone, take messages in a courteous manner, and enter all in the patient’s current electronic health record.
He/she will scan all pertinent records to maintain current electronic health record.
Will input accurate patient demographic and insurance information, into the current software program used, for accurate billing insurance claims.
Will ensure that the timely/steady flow of patients is always maintained.
MINIMUM QUALIFICATIONS:
EDUCATION: High school diploma or the equivalent.
EXPERIENCE: Basic experience with computers, typing, telephones and filing. Medical office experience beneficial.
SKILLS: Must possess the ability to communicate effectively with patients and fellow staff members with the ability to handle difficult situations by displaying a calm, compassionate and professional attitude.
He/she must be able to answer the telephone and greet patients with a clear, friendly, and professional voice. Must be willing to work closely with all medical staff and Clinic employees to adequately ensure that patients receive the utmost in medical care.
Must be detail oriented.
Must have the mental and physical health sufficient to meet the demands of the position.
******************************************************************************************* RESPONSIBILITIES AND DUTIES:
Answers telephone calls promptly and in a calm, friendly and professional manner. Transfers incoming calls to other departments. Takes telephone messages for nurses and physicians in electronic health record. Pulls necessary charts when instructed by physicians, physician assistant, nurse practitioner and/or nurse.
Schedules appointments, following instructions by nurses/providers and by the wishes of patients.
Collects payments/copays from patients as per individual insurance requirements.
Collects payment for past due accounts and posts them correctly to visit specific outstanding bill.
Completes Census reports, verifies inpatient insurance status, obtains precertification for hospitalization stay, makes sure all admission consent forms are signed and scanned in.
Keeps patients informed of any delay in their visit.
Makes confirmation calls in the morning for the following business day to remind patients of their upcoming appointment and what is needed of them to bring in.
Will verify all insurance information is current regarding patient coverage etc.
Will prepare the next day required documents for patients to sign when needed.
If working the early shift, scans the preceding days or weekend’s Emergency Room Records for the patient’s electronic chart. This includes all Emergency Room Records, demographics, all lab & x-ray reports, EKG’s, transfer information, nursing documentation and the discharge education & instruction sheets.
Inputs any appointment added by nursing after hours as per physician into the current software program.
Files clinic charts throughout the day, making sure all filing is complete at the end of the day, if possible.
Uses time wisely when Clinic flow and/or telephone calls are slow such as chart maintenance, scanning and combining medical records etc.
Organizes/prioritizes assigned work and schedules time to accommodate work demands, turn-around time requirements and commitments.
Calls the Registration/Admission Supervisor and Clinic Manager when ill, so arrangements can be made for a replacement.
Follows policies and procedures to contribute to the efficiency of Registration/Admissions and the Cogdell Clinic.
Uses interpersonal skills effectively to build and maintain cooperative working relationships including handling difficult situations with patients, staff members, and physicians, in a calm, friendly and professional manner.
Makes sure that all pertinent information is collected and documented in patient electronic health record that pertains to meaningful use data collection for documentation and compliance purposes.
Contributes to the “team effort” of W. J. Mangold Memorial Hospital and Cogdell Clinic. Works and communicates in a positive manner with management, supervisory staff, medical staff, co-workers, other healthcare personnel, patients and their families while providing services, seeking assistance and clarifying or resolving issues.
Understands the importance and complies with HIPAA confidentiality among co-workers regarding patient’s privacy.
Performs other duties as assigned by Registration Supervisor and/or Clinic Manager.
